Position Overview 

This is a salaried, exempt position with a 10-month work schedule. Standard work hours are 7:30 a.m. to 4:00 p.m. Monday- Friday, with required student availability from 8:00 a.m. to 4:00 p.m. Monday - Friday. As an exempt position, additional hours may be required as necessary to fulfill job responsibilities.

OptimaEd is seeking a Canvas Specialist to manage and support our Canvas LMS environment. This role focuses on day-to-day administration, system configuration, user support, and ensuring a reliable and user-friendly experience for both students and teachers. The Canvas Specialist will serve as the primary LMS support contact and work closely with instructional, implementation, and technical teams.

• Manage course creation, enrollments, and term setup within Canvas

Position Overview 

This is a salaried, exempt position with a 10-month work schedule. Standard work hours are 7:30 a.m. to 4:00 p.m., with required student availability from 8:00 a.m. to 4:00 p.m. As an exempt position, additional hours may be required as necessary to fulfill job responsibilities.

Major Function

The School Counselor is responsible for planning, implementing, and evaluating a comprehensive school counseling program that meets state requirements and the needs of our online learners. • Develops, implements, and evaluates a comprehensive school counseling program aligned with state guidelines and the unique needs of an online classical liberal arts academy. 

• Delivers the four counseling program components: counseling curriculum, individual student planning, responsive services, and system support. 

• Conducts annual needs assessments and uses data to guide continuous improvement of counseling services. 

• Maintains accurate documentation and student records in compliance with state and federal requirements. 

Student Academic Support & Progress Monitoring 

• Monitors student academic progress, engagement, and attendance using data dashboards, assessments, and teacher input. 

• Supports student state and progress-monitoring testing, including coordination, preparation strategies, and interpretation of results for students and families.

• Consults with administrators, teachers, and families regarding student progress, mental health, behavior, and academic concerns.

The Opportunity

The Technology Service & Support Specialist performs support work within the organization’s technology department to ensure that technology resources are utilized effectively. This role provides technical assistance to staff across Optima Academies, supporting software, hardware, and network systems. Support is delivered through diagnostic testing, remote access, phone, email, chat, and in-person troubleshooting.

Essential Duties & Responsibilities

Technical Support & Service

• Travel to OptimaED remote locations on a regular schedule and as needed to provide support services.
• Travel to OptimaED headquarters office on a regular schedule and as needed to provide support services.
• Respond to customer issues via phone, email and computer chat.
• Training and assisting other staff members on troubleshooting and diagnosing problems.
• Manage Help Desk tickets promptly and effectively.
• Document customer interactions.
• Perform troubleshooting to diagnose and resolve problems.
• Escalate issues with next level of difficulty.
• Install, make changes, and repair technology hardware and software.
• Providing technical assistance for questions and problems.
• Resolving problems with networks and other technology systems.
• Following up with customers to ensure full resolution of issues.
• Requesting feedback and/or monitoring calls and other methods of correspondence to improve training methods.
• Running reports to analyze common complaints and problems.
• Supports the inventory of technology equipment.
• Knowledge of diverse computer systems and networks.
• Knowledge of technology security and data privacy application.
• Set up workstations with computers and necessary peripheral devices (routers, printers, etc.)
• Check computer hardware (HDD, mouses, keyboards etc.) to ensure functionality.

Position overview:

The Controller will be primarily responsible for overseeing all aspects of OptimaEd’s accounting operations, ensuring accurate and compliant financial records, and managing day-to-day accounting activities. This role will focus on core accounting functions such as accounts payable, accounts receivable, payroll, reconciliations, and financial reporting.

The ideal candidate is a strong accounting professional with a CPA and leadership experience. Familiarity with accounting technology and process automation is beneficial, and experience utilizing AI-driven systems to enhance efficiency is a plus, but not required.

The Controller will report directly to the Head of Finance (HOF) and will play an essential role in ensuring the financial health of our online school and business operations.

Key Responsibilities

Accounting Operations

• Oversee day-to-day accounting functions, including accounts payable, accounts receivable, payroll, and general ledger entries.
• Ensure timely and accurate month-end and year-end closing procedures, including reconciliations of bank accounts and balance sheets.
• Perform account reconciliations, ensuring discrepancies are investigated and resolved efficiently.
• Ensure compliance with accounting standards (e.g., GAAP) and maintain accurate, detailed records.

Accounting Systems & Process Improvement

• Utilize accounting software and ERP systems to support efficient financial reporting, invoicing, and reconciliations.
• Partner with IT and internal teams to improve accounting workflows and system functionality.
• Identify opportunities to streamline processes and reduce manual work through automation and technology where appropriate.

Financial Reporting

• Prepare monthly, quarterly, and annual financial reports that accurately reflect the financial health of OptimaEd.
• Support the development of reporting tools and dashboards to provide timely financial insights for leadership.
• Collaborate with the HOF to ensure that all financial statements comply with internal and external reporting requirements.

Internal Controls & Compliance

• Maintain and enforce strong internal controls to ensure accurate financial reporting and safeguard against errors and fraud.
• Lead preparation for annual audits and work closely with auditors to ensure compliance with all regulations.
• Ensure compliance with relevant accounting regulations, including tax filings and nonprofit accounting standards (if applicable).

Team Leadership & Collaboration

• Lead and mentor the accounting team, ensuring adherence to accounting best practices.
• Work closely with cross-functional teams (e.g., IT, HR) to resolve accounting-related issues and ensure financial systems align with operational goals.
• Serve as a key point of contact for accounting-related inquiries from other departments.

Continuous Process Improvement

• Proactively identify areas for improvement in accounting processes and implement solutions to enhance efficiency.
• Stay informed on emerging accounting tools, systems, and best practices to support continuous improvement.

Qualifications

Education

• Bachelor’s degree in Accounting, Finance, or a related field.
• CPA required.

Experience

• At least 5 years of experience in accounting, with a minimum of 2 years in a controller or similar role.
• Experience in an online or remote working environment is a plus.
• Experience with accounting systems or ERP platforms (e.g., QuickBooks, NetSuite, Xero, or similar).
• Exposure to automation tools or advanced accounting technologies is beneficial but not required.

Skills & Competencies

Position overview:

The Controller will be primarily responsible for overseeing all aspects of OptimaEd’s accounting operations, ensuring accurate and compliant financial records, and managing day-to-day accounting activities. This role will focus on core accounting functions such as accounts payable, accounts receivable, payroll, reconciliations, and financial reporting.

The ideal candidate is a strong accounting professional with a CPA and leadership experience. Familiarity with accounting technology and process automation is beneficial, and experience utilizing AI-driven systems to enhance efficiency is a plus, but not required.

The Controller will report directly to the Head of Finance (HOF) and will play an essential role in ensuring the financial health of our online school and business operations.

This is a salaried, exempt position. As an exempt position, additional hours may be required as necessary to fulfill job responsibilities.

Compensation is determined annually in accordance with OptimaEd’s established performance evaluation and compensation policies.

Key Responsibilities

Accounting Operations

• Oversee day-to-day accounting functions, including accounts payable, accounts receivable, payroll, and general ledger entries.
• Ensure timely and accurate month-end and year-end closing procedures, including reconciliations of bank accounts and balance sheets.
• Perform account reconciliations, ensuring discrepancies are investigated and resolved efficiently.
• Ensure compliance with accounting standards (e.g., GAAP) and maintain accurate, detailed records.

Accounting Systems & Process Improvement

• Utilize accounting software and ERP systems to support efficient financial reporting, invoicing, and reconciliations.
• Partner with IT and internal teams to improve accounting workflows and system functionality.
• Identify opportunities to streamline processes and reduce manual work through automation and technology where appropriate.

Financial Reporting

• Prepare monthly, quarterly, and annual financial reports that accurately reflect the financial health of OptimaEd.
• Support the development of reporting tools and dashboards to provide timely financial insights for leadership.
• Collaborate with the HOF to ensure that all financial statements comply with internal and external reporting requirements.

Internal Controls & Compliance

• Maintain and enforce strong internal controls to ensure accurate financial reporting and safeguard against errors and fraud.
• Lead preparation for annual audits and work closely with auditors to ensure compliance with all regulations.
• Ensure compliance with relevant accounting regulations, including tax filings and nonprofit accounting standards (if applicable).

Team Leadership & Collaboration

• Lead and mentor the accounting team, ensuring adherence to accounting best practices.
• Work closely with cross-functional teams (e.g., IT, HR) to resolve accounting-related issues and ensure financial systems align with operational goals.
• Serve as a key point of contact for accounting-related inquiries from other departments.

Continuous Process Improvement

• Proactively identify areas for improvement in accounting processes and implement solutions to enhance efficiency.
• Stay informed on emerging accounting tools, systems, and best practices to support continuous improvement.

Qualifications

Education

• Bachelor’s degree in Accounting, Finance, or a related field.
• CPA required.

Experience

• At least 5 years of experience in accounting, with a minimum of 2 years in a controller or similar role.
• Experience in an online or remote working environment is a plus.
• Experience with accounting systems or ERP platforms (e.g., QuickBooks, NetSuite, Xero, or similar).
• Exposure to automation tools or advanced accounting technologies is beneficial but not required.

Skills & Competencies

• Strong understanding of accounting principles (GAAP), financial statements, and reconciliation processes.
• Proficient in Microsoft Excel, including advanced functions for financial analysis.
• Familiarity with modern accounting software and reporting tools.
• Exceptional attention to detail and organizational skills.
• Strong communication skills with the ability to collaborate across departments and explain financial data to non-financial staff.

Preferred Skills

• Experience with cloud-based accounting platforms (e.g., NetSuite, Xero, Sage Intacct).
• Experience with process automation, reporting tools, or data analysis.
• Familiarity with AI-driven tools or financial technologies (nice to have, not required).
• Knowledge of the unique accounting needs of an online or educational organization.

Working Conditions
